How I'm Using Digital Business Cards to Plan My Wedding

My wedding planning secret weapon: digital business cards. Here’s how this free tool has made wedding planning easier for me.

Hi there! I'm Lily, and I'm getting married in 2025! As someone who's planning the entire wedding myself, I’ve quickly realized just how many moving parts there are — from florists and photographers to venues, caterers, and more. Staying organized is essential, and honestly, spreadsheets and sticky notes just weren't cutting it when it came to organizing all of the vendors and their contact information.

That’s when I decided to get a little creative and turn to a tool I already loved for work: my HiHello digital business card. But this time, I made a new one, designed entirely for my wedding planning.

A Digital Business Card Just for Wedding Vendors

One of the first things I did was create a custom HiHello card just for wedding vendors. I included key information that every potential vendor might need to know: our wedding date, location, my email and phone number, and even a few fun details like the theme and colors we’re going with. I even added my Pinterest boards so vendors like our florist could easily find my design inspiration.

What I love about HiHello is how flexible and dynamic it is. As I finalize more details — like ceremony times, final venues, or our caterers' contact info — I can easily update the card, and everyone I've shared it with will always have the most up-to-date version. No resending, no confusion.

Sharing Made Simple and Powerful

Any time I speak with a new vendor, I send them my HiHello wedding card. It’s sleek, polished, and makes communication so much easier. But here’s the best part: when vendors share their own contact information back with me, it’s automatically saved to my HiHello address book. Even better, those contacts are grouped with a tag associated with this specific card, so I can easily find all my wedding-related contacts in one place. No more digging through emails or forgetting who I spoke with two weeks ago.

I can also add personal notes to each contact. If a florist mentioned they specialize in seasonal arrangements or a DJ prefers a particular type of setup, I jot it down directly in their profile. It’s like having a mini wedding planning assistant right in my pocket.

A Second Card for Our Wedding Guests

As planning progressed, I realized I needed another card — this time, for our guests. Not everyone wants to wait for the formal invitation, and many of our friends prefer digital over print. So I created a second HiHello card, completely designed for sharing wedding details with our guests.

This one is more visual and fun: I used pictures from our engagement shoot (taken by the amazing Athens wedding photographer Brandon), used our wedding colors in the design, and packed it with helpful info. The card has our wedding date and location front and center, plus direct links to RSVP, our wedding website, and our registry. For anyone with questions before the formal invitation goes out or who prefers digital over printed invites, this card is perfect.

Staying Organized, Stylish, and Stress-Free

Wedding planning is a lot, but using digital business cards through HiHello has helped me stay ahead. From managing vendor contacts to giving guests a beautiful way to stay in the loop, it’s made the process smoother, more organized, and a lot less stressful.

If you’re planning a wedding (or honestly any big event), I highly recommend giving this a try. It’s been a total game-changer for me, and I can't wait to see it all come together on the big day!

Thanks for reading, and to all the other brides-to-be out there, I hope digital business cards can make your wedding planning process just a little bit easier, too.
